Event Planning Expert Needed for Wine Tasting & Silent Auction Event

Sierra 2 Center for the Arts & Community/Sierra Curtis Neighborhood Association (SCNA) is seeking an EVENT PLANNING EXPERT to organize, deliver, and re-envision its largest annual fundraising event, 28th Annual Curtis Park Wine Tasting, Silent Auction & Beer Garden event to be held on Saturday, October 6, 2018, at Sierra 2 Center.

SCNA is one of the most established and successful neighborhood associations in the city of Sacramento. In the 1970’s, Curtis Park residents banded together to save the old Sierra School from demolition. Thus was born the Sierra Curtis Neighborhood Association and a dynamic center for cultural and educational activities.

Today, SCNA serves over 2,500 households in the historic Curtis Park neighborhood located just south of downtown Sacramento. We offer an array of family events throughout the year, hold regular monthly board meetings to discuss issues of relevance to our neighborhood and publish the Viewpoint newspaper. In addition, SCNA manages the reborn Sierra School as the Sierra 2 Center for the Arts and Community.

The Sierra 2 Center for the Arts and Community, is a charming, Andalusian/Spanish Revival style stucco building built in 1923 as an elementary school. Sierra 2 is located on three lushly landscaped acres in the beautiful Curtis Park neighborhood within easy reach of midtown and downtown Sacramento. Sierra Green, a neighborhood park, is adjacent to the Center.

This historic site was saved from demolition by SCNA in 1979. SCNA’s members and community volunteers generously contributed time and resources to renovate the school. Together they transformed Sierra 2 into a non-profit center for artistic, cultural and educational
activities. The 24th St. Theatre and a variety of scenic meeting rooms are available to the public for rental on a daily and monthly basis. Sierra 2 has become a vibrant hub for Curtis Park and the greater Sacramento area.

SCNA is a 501(c)(3) nonprofit corporation. SCNA gives the Sierra Curtis neighborhood (Curtis Park) a common voice, family entertainment and a community center, which is the architectural and social centerpiece of the neighborhood.

Sierra 2 Center complex is roughly 40,000 square feet in size and sits on 3+ acres. It houses a 296-seat theater, three dance studios, a banquet hall and many individual rooms and courtyards that serve as gathering places as well as a dedicated Senior Center operated by SCNA. The  Senior Center receives about 8,000 visits each year. Sierra 2 Center receives an estimated 400,000 visits annually. There are 11 resident tenants in two kitchens and ten spaces. All other spaces are rented by the hour, day, or week.

The Project

SCNA is seeking a creative and resourceful event planner who has experience delivering nonprofit fundraising events, silent and live auctions, securing donations, participating restaurants and wineries, sponsors and volunteers. Please see details below and provide your written response, including desired contract price and terms, by July 20, 2018.

The Curtis Park Wine Tasting, Silent Auction & Beer Garden event is the bedrock fundraising event for SCNA. It has served as a source of financial resources annually as well as a community gathering event, bringing together neighbors, small businesses, local restaurants, and wineries for a fun night of social connection, decadence and competitive silent auction bidding for a good cause.

Funds raised from the event support maintenance and enhancements of the Sierra 2 Center, Senior Center programs, and neighborhood events such as the Music in the Park concert series and Curtis Fest Artisan Festival in the park. Additionally, some funds are allocated to Bret Harte 6th Grade Sly Park nature and science camp and McClatchy HS Debate and HISP groups for their volunteer assistance.

As the event is scheduled for Saturday, October 6, 2018, the planning and coordination will need to begin immediately. While many of the planning tasks have been initiated, SCNA needs a champion to guide the project through to delivery and ideas to infuse the event with fresh and interesting elements

  • $50,000 avg. gross revenue: $15k sponsorships, $10k Silent auction/Raffle, $10k Neighborhood dinners, $15k ticket sales

Scope of Work

  • Creating and delivering an event plan to meet desired financial and attendance goals as agreed upon with SCNA
  • Providing outreach and ideas to create and build new relationships, develop community support through donations and volunteerism, and generate opportunities to enhance historical event achievements
  • Providing direction for volunteers and participating vendors
  • Tracking and reporting of progress, including a detailed post-event evaluation
  • Creating a vision and plan for the future
